- Ask for details. Ask them to be detailed including their name, number, and purpose of their call. Don’t answer your cell phone. Those who are successful would not be available at all times, so by not answering your cell phone, you speak volumes. At the same time, promise to return the call within 24 hours. Offer them to bypass the message by hitting pound on their keypad.
- Urgent calls. If the message is urgent, ask them to send the message to an email account that you have preserved for urgent messages. An example would be firstname.lastname@example.org. This way an urgent message is in writing and the client will think about what they need to say, which will make the message clearer. At the same time, you will know that whatever messages you receive at that email address are urgent.
- Schedule your calls. This gives you more control over your time. Schedule your time to return calls between a specific block of time. You will then be ready, your clients will be receiving your undivided attention, and you will be proactive. You do not communicate your brand when you are in the reactive mode. Notice the freedom that you receive from this task and your results.
