Writing mindless emails. An email comes in and without giving it much thought, many have the tendency to mindlessly respond. Resist the temptation to edit and brainstorm simultaneously. This will compromise the value of your emails.
Improve the quality of your messages. Before responding take a minute and imagine that person sitting in front of you. What is it that you want them to get from your email? You will simply brainstorm. Write down your thoughts, while resisting the temptation to edit. Next, while rereading the notes, isolate your message. What is that one thing you would say if you could not say anything else.
Identify all the background statements. What is related to the reader’s relationship with you? Begin with that. You will only want three lines in the first message. Then, state your message – italicized. Support your message with where you plan to go from here. Finally, add your call to action.
